professionals are not the only people who must deliver the message to employees,
but sometimes we think we are. The issues regarding motivation, company
policy, sexual harassment, employee orientation as well as personal problems
can be a major share of the HR professional�s job. But of course, knowing
the basics of communicating your message is essential to everyone in the business
world. </font></p>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">Wouldn�t
we all agree that the most important of those basics must be, knowing what you
want to say? </font></p>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">The
best speakers would say no, it�s not even near the top of the list. Basic
number 1 is, knowing what you want them to hear. </font></p>
<h4 class="MsoNormal"><b><font face="Verdana, Arial, Helvetica, sans-serif">What
do you want them to hear?</font></b></h4>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">You
want them to hear what you want them to do. </font></p>
<h4 class="MsoNormal"><b><font face="Verdana, Arial, Helvetica, sans-serif">What
do you want them to do?</font></b></h4>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">You
must decide first what you want the end result to be. Write it down.
What is the purpose of this communication? Is it to get someone to do
something? Is it for them to stop doing something, to change behavior,
to believe something or to understand something? Do you want to inspire,
educate, motivate, call to action or merely to inform? Focus on what you
want them to do. Be sure to tell them specifically what you want them
to do. Why would you give someone a 30-minute sales pitch and then not
ask for the order? At the end of your presentation, tell them what you
wrote down.</font></p>
<h4 class="MsoNormal"><b><font face="Verdana, Arial, Helvetica, sans-serif">Who
are they?</font></b></h4>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">You
must identify who your audience is. And how they may hear your message
differently from any other audience. Explaining the value of your new
compensation program to the finance department will be heard differently when
you tell it to the work crews, and differently heard again when you�re selling
it to the owner. Learn something about your audience first. Learn
a lot about them.</font></p>
<h4 class="MsoNormal"><b><font face="Verdana, Arial, Helvetica, sans-serif">How
can they be reached?</font></b></h4>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">Match
who they are with their unique way of hearing. What is their stake in
this issue, what do they want, what do they have to gain, what are their problems
and how are those problems different from any other audience? Who would
dislike this message and why? Could it be anyone in this group?
Each audience will hear your message differently. What do you want them
to hear? Don�t use terminology that is not part of their normal communication.
Don�t use financial terms when talking to the creative department. Don�t
use technology terms when communicating to the accountants. Talk to them
in the language they speak. </font></p>
<h4 class="MsoNormal"><b><font face="Verdana, Arial, Helvetica, sans-serif">What
are my tools?</font></b></h4>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">Now
that you know what you want them to hear, what you want them to do, who they
are and how to reach them, what tools, weapons, and aids can you use to produce
the end result you see?</font></p>
<p class="MsoNormal"><font face="Verdana, Arial, Helvetica, sans-serif" size="-1">Logic,
reason, incentive, values, experiences, knowledge, truth and support and even
testimonials are in that toolbox. To inspire them call on their values.
To incentivise them tell them what they have to gain. To change them tell
them the advantages and need for a better way. To educate them, excite
them with mental challenges and let them discover the light. </font></p>

small business (fewer than 20 employees) spend $7,647 per employee
