We recommend to post these guidelines on your conference website. AbstractSubmissionProcedure (galveston)%0a* Upon refunding registrants, the system does not provide any confirmation message that the refund has been issued. (mackinac)%0a* The export to excel:(mackinac)%0a** does not provide information on whether a registrant has registered as a member, non-member, student or retired. This information can be accessed by highlighting each individual on the web site and reading the bottom of the page.%0a** does not provide counts on how many special events have been purchased. I made new columns in the excel spreadsheet and manually entered the number of tickets to special events.%0a** does not provide a single column for charges made to credit cards that can be easily summed to get a total revenue.%0a* Registration should check to make sure emails are entered in the right format (e.g., commas not inadvertently entered for periods.). Possibly force registrants to enter email twice as confirmation/reduction in typos. (mackinac)%0a%0a%0a!! Registration Fees%0a* consider delaying posting fees until after the abstract deadline. It obviously did not hurt us not having fees ready, and it reduces the GCs uncertainty a bit and helps keep the fees reasonably low. (galveston)%0a%0a!!! Late Fee%0a* b/c of the way the registration site works, it is a little problematic having to change the registration fee (manually) at a certain date/time. It also makes the accounting more laborious, imposing the requirement for someone to manually track the late registrants. Lastly, invoices pulled up on the web site show just the latest registration fee, not the actual amount paid. I'd recommend trying to add a new registration type rather than changing the price of the existing type. (mackinac)%0a%0a!! Hotel Negotiation%0a* Keep an eye on the per diem for your location. Mackinac Island dropped from $129 in FY05 when the contract was negotiated to $81 in FY06-07. I recommend trying to insert language into the contract to account for changes in the per diem. I dont know if a hotel would go for that though. (mackinac)%0a* I was able to relatively easily negotiate the room rate in the hotel contract to read the "prevailing per diem + 25%25". Most of the hotels that I negotiated with were amenable to this language but some wanted to put a hard number down with the caveat that it would be changed later to whatever the prevailing per diem was set at. (Savannah)%0a%0a!! Special Events%0a* Refunding and selling excess tickets is a real time-consuming headache at the conference. I recommend establishing a message board, perhaps even using an online tool like google groups, so that people can buy/sell/trade their own tickets independent of the GC. (mackinac) %0a* I suggest making the event tickets non-refundable and have the message board as an option to exchange tickets. I will make the message board happen for Savannah.
