We are hopeful that the information listed below, while constituting an agreement between Mission Point Resort and American Astronautical Society, will be helpful in the planning of your final program.  We believe that by specifying conditions and services we can ensure a successful program to the credit of both American Astronautical Society and Mission Point Resort.

The room rate
			$129.00 per room, per night, Single and Double occupancy
			
If the above room rate is higher than the US Federal Lodging 2007 per diem, Mission Point Resort will bring the room rate to the lodging per diem rate X 1.25.  However, fee waivers on the conference rooms listed in the Function Space section below are contingent upon implementation of the $129 room rate.  Any difference decrease from $129 in the room rate will be made upcompensated for by  increasing the conference space rental.  MPR will work to get the GSA to increase the per diem rate for Mackinac Island. If there is no increase in the per diem, MPR will attempt to re-negotiate the above room rate when the 2007 per diem rates are published.

Rates are non-commissionable.  Children 18 and under are complimentary in parent's room. All rates quoted are for single or double occupancy.  Additional person charge of $20.00 per person, per night, plus tax.  There is a maximum of four adults allowed in a room.

Room Tax:
All Mission Point Resort rates are subject to the current 6% State of Michigan Sales Tax, and 8% Resort Levy.  Taxes are subject to change with out notice.

We are pleased to extend the following amenities to all overnight guests of Mission Point Resort.

* Meals served to children 12 years and younger of overnight guests at two of our four outlets with their parents are charged $1.50 gratuity.

Baggage Handling:
A charge of $4.00 per person is automatically added to all guest accounts for round-trip transfer of luggage from the ferry dock to the hotel and return.

Reservation Procedures: Individual Call-In
Individuals will be responsible for making their reservations directly with the hotel.  Our toll free number is (800) 833-7711.  Guest must identify themselves with the group to receive contracted rates and insure proper credit to your room block.  A deposit of one night's room charge is required to confirm individual reservations.  This payment may be made by check, money order, or credit card.

Individual reservation deposits will be refunded on cancellations received 14 days prior to arrival.  All refund requests must be made in writing. 

Complimentary Room:
Based upon your total guest room commitment, we are pleased to extend one (1) complimentary room night for each fifty (50) paid room nights utilized by the American Astronautical Society. Total paid room nights will be tabulated on a per night basis.

As a special consideration to your group, we will upgrade your V.I.P�s, upon availability, to one of our suites at no additional charge. 

Complimentary rooms will be used during the official dates of the program.

Cut-off Dates:
All reservations must be received at Mission Point Resort no later than 30 days prior to arrival.  After this cut-off date any uncommitted rooms from your block will be accepted on a space available basis.


Proof of Printed Material:
Any printed material such as reservation forms or newsletters which will be given to attendees must be proofed and approved by Mission Point Resort prior to distribution in order to verify accuracy of the content. Technical papers are not subject to this clause.

Check-in/Check-out:
Please advise your guests that our check-in time is 3:00pm; check-out time is 11:00am.  All guests arriving before 3:00pm will be accommodated as rooms become available.  Our bell staff can arrange to check baggage for those arriving early when rooms are unavailable and for guests attending functions on departure day.

Function rooms are assigned according to the number of persons guaranteed to attend and may be changed by the hotel if actual attendance changes.  Any additional meeting rooms not reflected on the agenda above, will be assigned based on availability and appropriate meeting room rental will be charged accordingly.

During the development of the final program we will, from time to time, receive requests from other groups for function space.  We ask your cooperation in releasing any function space that will not be utilized by your group over the dates of your program.

Projection Equipment
The AAS will provide its own digital projectors and laptop computers for use in each of the paper sessions and each lunch session.  MPR shall provide appropriate white background screens and projector stands (carts or tables) in each of the paper sessions and each lunch session.

Temporary Secure Storage
MPR shall provide temporary secure storage of daily conference receipts.

Food and Beverage:
Food and beverage prices will be quoted six (6) months in advance of your arrival.  Enclosed you will find a complete set of menus for your review of current pricing and policies.  It is anticipated that fFood and beverage prices will be adjusted no more than 10% per year. 

2005 Menu Prices:
Breakfast - $10.25 - $13.95 per person
Lunch - $12.75 - $21.95 per person
Dinner - $22.50 - $46.25 per person
Beverages (beer/wine/soft) - ????  - - usually  1 or 2 drink tickets given tofor each registrants (~200-400 total drinks) - (Beer & wine - $3.25-$5.00 each, Sodas - $1.75 each)
Morning coffee & snack service (at mid-morning break - ???) - (Morning break - $7.50 per person) 
Afternoon beverage and snack service (at mid-afternoon break) - ???(Afternoon break - $6.50 per person)


We also feature custom designed menu planning to accommodate any special requirements you may have.

Mission Point is pleased to offer one complimentary hors d� oeuvres reception (beverages not included) or one hot breakfast buffet for your group during the conference if a contract is signed and deposit returned by October 31, 2005,.






Convention Services:

Mission Point Resort maintains a professional team of Convention Service Managers to assist you in developing a successful program.  A representative will be contacting you to begin finalizing all aspects of the meeting and banquet activities once the agreement has been signed and returned.  In order to establish a clear line of communication with our other departments and to provide for a successful gathering, we ask that you submit any changes along with a finalized program of events as soon as possible.

Additional Services:
Mission Point Resort strongly recommends that you contact ferry and carriage tour operators directly to negotiate group rates.  As a preferred carrier for Mission Point Resort, Shepler's Mackinac Island Ferry Service offers a discount for your entire group.  Their telephone number is (800) 828-6157.  Ferry and taxi service is not included in the room rates.

Billing: Individual to Pay All Charges
We understand that the individuals will be responsible for their individual guest room bills and that all functions and banquet charges will be placed on a master account. All charges will be paid in full upon departure.

Credit Arrangements:
Individuals will be responsible for their own incidental charges unless the resort is notified in writing prior to arrival.  Accounts must be cleared and paid in full prior to the individual's departure.

We will prepare a master account on which to apply specific charges outlined by your designee.  All charges applied to the master account will be verified in writing and your designee will furnish us with a list of authorized signatures.  The master account will be reviewed periodically during the program by an authorized individual with the company staff and our credit manager.
We will arrange a meeting between your designee and a representative from our Accounting Department at the close of the program to review the master account.

Subject to prior credit approval, any balance not covered by prepayment will be billed to company and the final payment will be due within fifteen (15)thirty (30) days of date of invoice.

Deposit Requirements/Payment Schedule:
All guest room, function space, standard and special concessions are considered tentative until signed acceptance of this agreement and a  $1,000.00 non-refundable deposit are received by Mission Point Resort by Monday, October 31, 2005by Wednesday, September 7, 2005 ??date subject to AAS (James Kirkpatrick) approval??..  Lack of a signed contract and deposit at this time will result in all space being returned to the hotel inventory without further notice from Mission Point Resort.  Deposits are credited to the master account. 

If prior credit approval has not been established, All charges will be paid in full 30 days prior to arrival.


Cancellation Policy:
American Astronautical Society agrees that should it fail to meet its commitment hereunder, actual damages would be difficult to determine and the following schedule represents a reasonable effort on behalf of the hotel to establish its actual damages for cancellation of this agreement.





0-44 days prior to arrival you will be responsible for 100% payment of the total package.

45-89 days prior to arrival you will be responsible for 75% payment of the total package.

90-119 days prior to arrival you will be responsible for 50% payment of the total package.

120-or more days prior to arrival you will be responsible for 25% payment of the total package.

45 days or greater prior to arrival you have an allowance to reduce up to 20% of your room block without penalty.  Reduction in excess of 20% will be charged the appropriate percentage based upon the cancellation schedule and when the reduction occurs.

* Total package is revenue calculated from the guest room rate multiplied by the total number of room nights blocked, food and beverage functions multiplied by the number of guests, and total contracted room rental.

Force Majeur:
Either party�s performance under this agreement is subject to acts of God, war (declared or undeclared), regulations or advisories issued by the U.S. Government or its agencies (or foreign governments or agencies in the case of international attendees), terrorism in our geographic region, disaster, strikes, civil disorder, curtailment of transportation facilities, or similar occurrence beyond the party�s control, making it impossible, illegal, or commercially impracticable for one or both parties to perform its obligations under this agreement, in whole or in part. Either party may terminate this agreement without liability for any one or more of such reasons upon written notice to the other party within ten (10) days of such occurrence or receipt of notice of any of the above occurrences.

By these duly authorized signatures below, an agreement exists that this program is now definite and will be held as hereby indicated.
