had 138 registered attendees, broken down as 32 students, 25 non-members, and
81 members. The attendance was down some, probably due to the events of Sept 11<sup>th</sup>,
and the mix of students to full registrations was much higher than usual. The
conference will probably lose a little less than $3000. There were two
receptions, one on Sunday, and the other at the Alamo. Both were well attended.
Attendance was similar, but many more students also impacted the profits from
the conference.<span style="mso-spacerun: yes"> </span><o:p></o:p></span></p>

about the large number of withdrawals. The committee wishes to remind authors
that it�s extremely important to make every effort to present papers that have
been accepted. While extraordinary circumstances will sometimes occur, it�s
vital to the success of each conference to have the stated presentations.
Individual sessions are grouped to attract participation and interest in the
conference. When late withdrawals and routine no-shows occur, it undermines the
technical excellence of the conferences. <o:p></o:p></span></p>

the conference will occur on August 5-8, 2002 at the Hyatt Regency in Monterey.
A comment was made about the parking at the hotel and it was encouraged that
this be addressed at the upcoming site visit. There is a classic car rally in
Monterey on the 18<sup>th</sup> if folks would like an extra long vacation.
Craig McLaughlin and Jim McEvans will be at the site visit. Paul Cefola took an
action to chase down the topic of a CD for the proceedings. We have discussed
this many times. It is possible that this could be a significant enhancement to
the conferences. <o:p></o:p></span></p>

the status of the meeting. The conference is scheduled for 9-13 February, 2003.
However, there was some concern that this might conflict with the GN&C
(ski) conference. Ron Proulx will investigate the dates, but since the GN&C
conference is held the first week in February, the 2003 dates would be Feb 3-7.

The conference facilities are good, and the rates are about 129 (govt). The
Ponce Hilton will guarantee rates for +- 3 days on each side of the conference,
and overall, they are being quite cooperative in trying to secure our business.
There are several other hotels in the area. The one drawback for the Ponce
Hilton is the gravel beach, rater than the white sand beach that other hotels
offer, but at increased rates. Transportation from San Juan is challenging since
a taxi is $110 each way, rental cars are 30-40 /day, and air fare is $99 each
way. Two receptions are planned, Sunday and Monday. Three days of papers are
planned. Day trips are possible to Aericebo, a bio-luminescent bay, etc. The
registration is planned at about $250-280, but this depends on the expected
number of people. We discussed subsidizing the conference, with the outlook for
the San Antonio conference, but we agree this was probably not the best idea. <o:p></o:p></span></p>
<p class=MsoList2 style='margin-left:.25in;text-align:justify;text-indent:0in'><span
style='font-size:12.0pt;font-family:"Times New Roman"'>We had a side discussion
about using credit cards. The rate could be up to, but probably less than, 5%.
This could be a nice feature, but also could dig into any potential
profits/break-even for a conference. Karen Richon took an action to investigate

Breckenridge, and the votes were HI 14, Arizona 15, OR � 6. Note that Bend OR

correspondence was handled through e mail.</p>

<p class=MsoNormal>Funding difficulties, especially at Goddard, forced the late
withdrawal of a number of papers and two session chairs.</p>
<p class=MsoNormal><![if !supportEmptyParas]> <![endif]><o:p></o:p></p>
<p class=MsoNormal>Using previous conferences as guides, a rule requiring at
least one of the stated authors to be in attendence to present the paper was
enforced.<span style="mso-spacerun: yes"> </span>This led to the
withdrawal of a couple of papers and the hasty addition of a �co-author� to
another for the purposes of getting the paper presented.<span
style="mso-spacerun: yes"> </span>This issue was addressed at the AAS
technical committee mtg where it was decided that the �rule� was not really
official and did not need to be enforced.<span style="mso-spacerun: yes">
